October meeting minutes

The September minutes were reviewed and approved.  The September financial report was also reviewed and approved.   For September Robyn added journal reports to the treasurer report to track account details.  This new format received positive feedback from those in attendance.  Robyn discussed the shift in landscaping the school from twice a year to monthly as an overall cost saver and improvement to the school grounds.  The beginning of the year coffee was discussed as a great success and money well spent.  There was discussion over the script negative balance.  Robyn has ordered an audit of the script account.  Robyn has also shipped information for the taxes to be filed.

 

Two proposals were voted on and passed.  The first was a proposal to move funds from the OMSI field trip, garden stipend, and cross-cultural education fund (totaling $2600) to undesignated funds for this budget year.  The second was a proposal to give $4500 to the Reader’s Tutor program.  This program has a total cost of $6000 ($1500 were already approved by the PTSO last spring).  It will be a program offered by invitation only to those students who teachers feel will most benefit from small group work in order to improve reading skills.  It will meet after school or in the morning and will be taught by teachers.  Kathy Ludwig described the program and will provide a detailed report to the PTSO upon completion of the program next spring.

 

Various fundraisers and upcoming events were discussed.  The Fall Fundraiser brought in $7510.76 between bulb sales and check writing.  We had 43% of the school participate and the school will receive free bulbs from Dutch Mills that will be planted around the school.  Jenny Kling has ordered more Lunchskins.  The Shop for Sunset fundraiser will take place on 11/09.  It will be held from 5-9 pm.  Kathy Connell is looking for vendors.  The fee is $35 per table for vendors.  She will put the information in the West Linn Tidings and Kathy Ludwig will do a list-serv asking for possible vendors.  The money raised from this event will go towards the purchase of playground equipment and cafeteria improvements.    The upcoming Barn Blast was discussed.  A list-serv will go out with detailed information and request for volunteers.

 

Kathy Ludwig discussed the Artist in Residence programs for this school year.  Both programs are paid for from funds designated at the auction last spring.  For grades K-2 Kaaren Pixton will provide clay and sculpting workshops for the children.    Grades 3-5 will have photography sessions from Julie Keefe.  Kathy is looking at a November meeting with the artists to discuss timelines for both programs.  Kathy also discussed the upcoming Parent Math Night on 11/01.  It will be an opportunity for parents to learn more about the math program at Sunset.
